Campout:

• Reviewing camp rules and etiquette. 

• No pets, no exceptions, there will be a $50.00 fine for each pet, and the pet must leave the premises immediately. 

• The camp is closed and reserved for Adventurers and their families ONLY.

• We all need to be on our best behavior for the weekend, we had several incidents at camp last year that almost cost us the use of the park this year.  We ask that each director talk with their families and ask that they act their best. So that we may have a chance at using this park in the future.

• The front gate will only be opened at designated times. 
• It will be open until 10:00pm on Friday, for those who will be arriving late.
• The emergency exit will remain open at all times.
• Check in Friday at 2:00pm, no earlier.
• The front gate will be open at 6:00am – 9:00am, 4:30pm – 6:00pm, Saturday.
• And will not open again until 11:00am Sunday morning.

• All directors MUST attend flag raising and lowering as well as all other activities with their clubs.

• Parent’s must be responsible for their children at all times, no exceptions!! There should be at no times any unattended children at any time!!

• Everyone riding a bicycle, whether adult or child, must be wearing a helmet, anytime they are on their bike.

• Check out is Sunday at 2:00pm.  All campsites must be inspected by a Master Guide before checkout.

• In case of a fire ban:  You may bring an above ground patio fire pit with a screen cover.  Must be above ground, and self-contained.

• There is to be NO DRIVING during the campout.  We do not want any vehicles moving until checkout Sunday. We have too many children running, playing and riding bikes, to risk the cars moving in this area.  This includes mopeds and motorcycles.

• No dumping in the Campground dumpsters.  You can dump your trash at the day camp, or take it home with you.

• No boats. We will be canoeing on Sunday, and we cannot be responsible for individual watercraft.

Suggestion:  The bathroom schedule assignments should be for the bathrooms that your clubs are using, rather than all of them.

Sunday morning activities: 

• Everyone will start with the service project first.

• Bicycling, everyone MUST wear a helmet. And canoes, we are hoping to have 30 canoes; we will need one volunteer from each club at 8:00am Sunday morning, at the boat ramp, to help unload canoes, and then one volunteer, also from each club, at 12:00pm to help to reload the canoes.

Our speaker for the weekend will be Pastor Josh Murillo, the Youth Director/Pastor for the Texas Conference.

Sabbath School will be skits by the following clubs:

• Ft. Worth South Spanish
• Keene Spanish
• Arlington North Spanish
• DFW International Pilipino
• Alvarado Spanish

The skits need to be no longer than 5 minutes each.

Our praise team is a group from SWAU, they are lead by Devin Avavitarte, and they are great.

Ft. Worth First has volunteered to supply the PA system; we will also ask Ryan for further assistance.

Fun Day:

Motion: to do away with Fun Day.
The motion was tabled for now. 

Director’s Camp:

Directors would like to continue with the director’s weekend camp.

Workshop:

We would like to offer a free workshop for all staff and directors before you start the next Adventurer year.
The workshop will include how to run a meeting, class, how to teach award, inspections, etc.

Campamento:

• Revisando la normas y etiqueta del campamento. 

• No mascotas, no excepciones, se cobrara una multa de $50.00 por cada mascota y la mascota tendrá que irse inmediatamente del campamento. 

• El campamento está cerrado y reservado exclusivamente para los Aventureros y sus familias.

• Necesitamos comportarnos de la mejor manera posible durante este fin de semana. Tuvimos muchos incidentes el ano pasado que casi nos cuestan el uso del parque este ano. Le pedimos a cada director que hable con sus familias y les pida que por favor se conduzcan con de la mejor manera y posiblemente podamos usar el parque nuevamente en el futuro.

• La entrada estará abierta a determinadas. 
• Estará abierta el viernes hasta las 10:00 pm para beneficio de los que no puedan llegar temprano.
• La salida de emergencia estará abierta todo el tiempo.
• La entrada el viernes es a las 2:00 pm no antes.
• La entrada se abrirá el Sábado de 6:00 am - 9:00 am y de 4:30 pm - 6:00 pm.
• Y se abrirá nuevamente el domingo a las 11:00 am.

• Todos los directores DEBEN estar presentes en la izada y arriada de la bandera al igual que en las demás  actividades con sus clubes.

• Los padres deben ser responsables de sus niños todo el tiempo. No debería haber niños sin atención en ningún momento.

• Todos los que manejen bicicleta, deben tener casco de seguridad, ya sea adulto o niño.

• La salida es el domingo a las 2:00 pm. Los campamentos deben ser inspeccionados por un Guía Mayor antes de salir.

• En caso de que haya alerta de no fuego, les aconsejamos traer una fogata portátil elevada y con cubierta.

• No se permitirá manejar vehículos durante el tiempo de campamento. No deseamos autos moviéndose hasta el domingo a la hora de la salida. Tenemos demasiados niños corriendo, jugando y manejando bicicletas para arriesgarnos a un accidente.

• No bote la basura en los basureros del campamento. Ustedes pueden llevarse la basura para sus casas o si esta vacio, dejarla en el basurero del área de uso diario.

• No botes. Estaremos ocupados en las canoas el domingo y no podemos ser responsable de la gente que anda en otros aparatos de agua.

Sugerencia: La limpieza de los baños debería ser hecha por el baño que los clubes están utilizando en vez de estar rotando.

Actividades del Domingo por la mañana: 

• Todos comenzaremos con el proyecto de campamento.
• Bicicletas, todos deben colocarse casco de seguridad.
• Canoas, esperamos tener 30 canoas; vamos a necesitar un voluntario por club el día Domingo a las 8:00 am en la rampa de botes para ayudar a descargar canoas y otro voluntario a las 12:00 pm para ayudar a subirlas nuevamente al tráiler.

Nuestro Pastor invitado por el fin semana es el Director de Jóvenes de la Conferencia de Texas, el Pastor Josue Murillo.

• Bowling: Is too expensive to rent the whole place. The suggestions were to change or to eliminate the activity. Motion to change activity 3 yea, 5 nay. Since we are eliminating bowling, we suggest to plan a inexpensive club activity such as picnic, flying kites, canoeing (your are welcome to use the area canoes)
• Ice skating for next year: The motion to move the activity from December to 3rd weekend in January by Maryon Westerman.   6 yea, 0 nay
• Fun Days: Option carnival and bouncing houses – If we vote on an activity we need to support it, because we spend a lot of time and money.
• Area Camping:
• Date: March 20-22, 2009
• Fee: $8.00 per camper 4 year and older.
• Deadline: February 9, 2009 after this date, fee will double. No day passes available.
• Theme: Seeking Christ
• Theme song: 1st option “Seek Ye first” (#83 “He is our song” song book). 2nd option “I See Jesus” (#111 “He is our song” song book).
• Guess speaker: Pr. Josh Murillo – Texas Conference Youth Director
• RV’s: We will not promote RV’s but they will be allowed for health problems. The director’s need to decide if the RV is a necessity or a want. The director’s will then take the “case” to the Area Coordinators and they will decide if it will be allowed. The RV’s will be up at the front, not with the majority and there will be no dumping.
• No cars moving during camping time. Please make sure you inform your parents about this. Bikes are welcome (make sure you wear helmets).
• Master guides will be available for support and security still; PARENTS ARE RESPONSIBLE FOR THEIR KIDS SECURYTY.
• There will be 2 directors meeting thought the camp out Friday and Saturday at 10:00 pm at the meeting place.

Thank you to all of you who attended the Directors’ meeting on Saturday afternoon.  It was a fairly good turn out.  We have 11 clubs attending and I would like to welcome the new clubs and new directors to the Keene Fort Worth Area Team. The new clubs are Forrest Hill Spanish, Haltom City Spanish and DFW International Philippine, and the new directors Jared and Nicole from Alvarado, Maggie from Alvarado Spanish, Juan from Arlington Spanish North, Beth from DFW Philippine, Nicanor from Forrest Hills Spanish, Veronica from Haltom City Spanish, Ronnie and Niscah from Joshua, and Randy and Patricia from Keene.

3. We talked about our calendar. You can go and check it at www.kfw-adventurers.org we also talked about Area Fun day. Motion April 26 already in the calendar we change time to 1-3 pm. 8 approved, 0 opposed.
4. Area Point System: Ada will send monthly report to directors
1. Certification papers to Ada by September 26.
2. As a request from directors, Ada will meet with Alan and Lisa to create standards for how the points will be awarded for Induction and Investiture services.
3. Area fees are $2.00 just for Adventurers. Staff is not included.
5. Conference Monthly Reports: Print out forms from Conference website. Needs to be send to the Conference every month. Send to the Conference by 5th of the month.
6. Adventurer Sabbath, Induction and blessing services should not be combined into one Sabbath.
7. Certification papers:
1. Do not send papers to Conference. All papers need to go to Ada (1607 Shelley Lane. Cleburne, TX 76033).
2. Make two checks, one for Conference fees, and one for area fees. Make both checks out to Texas Conference designate in memo one for Certification and one for Area fees.
3. Church board has to vote on clubs calendar for risk management to cover accidents

We will keep out directors’ meetings every 2 months just before an Area Event.  We will choose the dates and place at the Texas Leadership Training in August.

Directors’ meetings are open only for Club Directors and Associate Directors. They are the only ones who can vote. One vote for club!  If anyone (who is NOT a Director) has a concern they are to bring it to the Director and then the Director is responsible to bring the concern to the Directors’ Meeting for discussion.

Area Camp Review:

·        The park is free to use. We need to leave it better then we received it. Make your clubs understand the reason we use this park and please respect it.  Sadly there was quite a bit of trash left at some of the sites this year.  Each club needs to complete a trash sweep before leaving.

·        Stay with club devotional Friday evening

·        Sabbath School – club skits

·        Keep same type of activities for Sabbath afternoon.

·        Do not bring your motor boats, fishing boats, etc. This is a family camp-out. If you come you need to be with your family.

·        Praise Team energetic for kids  – Let us know if you know somebody

·        We need to have a Directors’ meeting Friday night at the camp for questions or problems.

Area Camp Discussion:

 

Reasons for not bringing an RV:

1.      Space is limited – use tents like at family camp.

2.      To be close to nature and your club group.

3.      Be a club unit.

4.      Make a cool design with the layout of your group.

5.      We are using the pattern for Camporee to layout area camp.

 

Reasons we have chosen to not change campgrounds:

1.      Safety for the children!!! The park is closed to the public.

2.      We want the clubs to camp as a unit and stay close together.

3.      This park is closed for the off season and the rangers allow us to camp for free with a service project.  This saves us over $10 a night to use this park in the off season.

 

Please bring PROPANE heaters, safe for inside your tent. Please read carefully the guidelines on a propane heater box to make sure it is SAFE for use inside your tent.

 

NO PETS ALLOWED!!!! NO EXCEPTIONS!!! This is for the safety of the children.  $50 fine per pet to the club and the pet must be removed from the park immediately.

 

Master Guides will also do Registration

No directors’ meeting at Area Camp

Inspections will be conducted by Master Guides. Site cleanliness, fire extinguisher, etc.

Adult Supervision at all times around campfires.

Your club must supply their own wood, and in fire ring.

The kids will all meet together and receive a Nature Journal.  Little Lambs – Busy Bees need to do five activities.  Sunbeam – Helping Hands need to finish the whole booklet with parents.

 

Everyone will then all meet together to do their craft (picture frame made with twigs and twine).

Directors need to make sure they have a 4x6 picture for each child.

Club will have the opportunity to name the Camp at Lake Whitney.  Submit names to Area Directors before the end of February.  First place winner, club receives $1000.00, first two runner ups, clubs receive, $250.00.

 

 

Ice Skating

 

We had a GREAT turn out this year.  The directors wanted to keep it at the Parks Mall, it is closer.  Please come early, in order to accommodate for sizing and timing reasons.

 

Suggestions for next year: 

Assign times to clubs,

Buy extended time slot, maybe three hours verses two hours.

 

Limit ice skating to Adventurers and immediate family only.  Area has grown too much to leave it as an open invitation.

 

Encourage kids to wear their field uniforms.

 

Get a head count of attendees a month ahead so that we know a “rough” number of people to account for. Bring the number of club members to the directors’ meeting the month before Ice Skating.

 

 

Bowling

 

Need to know the number of people by Monday for bowling.

 

Time:  6:00 pm – 8:00 pm, so that we have the whole place.

60 lanes, 6 people per lane

 

Open to Adventurers and immediate family only.

4. CEREMONIES – There are 3 different Adventurer ceremonies:
1. Induction – This ceremony is a welcome to the Adventurer program and is also the dedication of all members and staff to God. Adventurers should get inducted by giving them their scarf and slide, membership card and Adventurer pin. For this ceremony they must use the altar as a symbol of their dedication to God.
2. Investiture – This ceremony marks the culmination of all the work done by the Adventurers (all requirements). Adventurers should get their class pin.
3. Blessing Service – This is a separate ceremony usually done in a club meeting, vespers, etc; where parents bless their kids and ask God for direction.
5. DO NOT COMBINE Adventurers & Pathfinders Ceremonies. They are 2 different clubs and they have their own ceremonies. Adventurers need to know that they are a separate club and ARE SPECIAL.
6. ADVENTURER SABBATH – Do not combine Adventurer and Pathfinder Sabbath. Usually the children never get the chance to participate. They need to participate in all the church service. If you get the chance you can have more that one Adventurer Sabbath or ask the church board meeting in your church for one Sabbath a month where Adventurers can wear their uniform and do some activities in your church (pick up the offering, usher, Sabbath school, special music, etc). Salim Church uses Sabbath School for Adventurers and Church Service for Pathfinders; this is a good idea if you want to have both clubs the same day.
7. ALWAYS ASK A COORDINATOR - to be present in your ceremonies, Adventurer Sabbath, and inspection.
8. CONFERENCE POINTS – you need to report all your club activities every 5^th of the month. But the only way you get your points for ceremonies, inspections and Sabbaths, is if your coordinator is present for that activity.
9. AREA POINTS – you will get these points if you attend all area activities (certification on time, area dues, director’s meeting, area camps, inspections, etc) At the end of this Adventurer year there will be trophies for the 3 first divisions.
1. First division: 90-100%
2. Second division: 80-89%
3. Third division: 70-79%
4. Participation ribbon:  69% and under
10. AREA CAMP – AWARD FOR BEST CAMP LAY OUT – We encourage you to bring tents for this area camp as you do for the Family Camp. The purpose of camping is to bring kids closer to nature. Please make this camp a time to enjoy God’s creation.

3. Deadline will be January 31, 2008; cost will be $8.00 per person, after the 31^st the cost will go to $15.00 per person. Last day to register for this price will be Monday, March 10^th, 2008.
4. Day passes will be $5.00 for adults and non participating children (these are Adventurer siblings), and $8.00 for participating children. Everyone has to register with their clubs. Anyone who comes on Saturday that is not registered will have to pay at the gate on Saturday.
5. No cars moving during Area camp.
6. Time to arrive and set up camp: 2:00 – 10:00 PM
7. No pets allowed. $50.00 fee per pet and needs to leave premises.
8. 1 trailer per club (Cooking or storage trailer).
9. There will be 5 electrical sites for those who need to bring RV’s for medical reason. The cost per night will be $25.00 plus camp fee. They will be near the entrance in the first loop (first come, first serve). There are other RV sites available just with water at $10.00 per night plus camp fee, in the 2^nd and 3^rd. loop (first come, first serve). You will not be able to drive during camping time. Make plans to bring bicycles and ride.
10. Restroom cleaning – up keep by clubs every 2 hours.
11. PARENT’S ARE TO WATCH THEIR CHILDREN. PARENTS NEED TO GO TO ALL ACTIVITIES. DON’T LET YOUR CHILDREN GO BY THEMSELVES TO THE RESTROOM. Pretend that you don’t know who is camping beside you.

Master Guides have been asked to help out with registration, security and inspections.

We would like to have at least 10 of them show up.

The area will give them $100.00 - $150.00 for food.

The campsites at the entrance will be reserved for the Master Guides.

 

Deadline will be January 31, 2008; cost will be $8.00 per person, after the 31^st the cost will go to $12.00 per person.

Day passes will be $5.00 for adults and non participating children (these are adventurers siblings), and $20.00 for participating children.

New KFW Policy for camping

1.      Every club will be guaranteed one water/electricity site. Because of the growth of our area, we can not guarantee water/electricity sites beyond that. 

2.      Additional water/electricity sites if available will be on a first come, first serve basis, and will be additional cost of $25.00 per premium site.

3.      There will be no guarantee with the premium sites that you will be placed with your club.

4.      Additional sites at front will be saved for emergency overflow.
